All grantees are scheduled to transition to VTrckS Spend Plan by September 2012 and to full VTrckS vaccine ordering functionality by May 2013. Results from a grantee readiness survey conducted last September and a follow-up call with each grantee informed the selection of each grantee’s deployment date. All grantees were scheduled on their requested date or later. The schedule meets the CDC required milestones for retiring VOFA in September 2012 and VACMAN by May 2013. Waves or cohorts of grantees are deploying each month to ensure available CDC resources to support every grantee’s transition.
CDC is committed to this schedule and with providing the required support for each grantee and their VFC providers to successfully deploy VTrckS.
All grantees should plan to transition to VTrckS accordingly as changing deployment dates is not feasible. There is flexibility in the areas of training, provider roll-on, and ExIS functionality. CDC will work with each grantee to choose the set of options that will ensure a successful transition.
For instance, both VTrckS Direct grantees (direct order entry into VTrckS by grantees and/or their providers), and ExIS grantees (order entry through an internal registry) have options with respect to the amount of training their staff will take and when the training will be taken. Of the approximately 50 hours of training, approximately half are required for staff primarily responsible for vaccine management. Depending on staff responsibilities, the remaining training can be completed either before or after deployment.
Both VTrckS Direct and ExIS grantees have flexibility in the rate at which their providers roll onto the system. VTrckS Direct grantees should count on using VTrckS for one month before rolling on providers. ExIS grantees, too, can schedule provider roll-on at a comfortable rate. Grantees should plan on deploying their providers on VTrckS starting in the second month following their VTrckS Go-Live.
ExIS grantees have options related to minimum ExIS functionality to implement. If needed, they can upload orders and inventory through the ExIS interface and maintain provider master data by logging on to VTrckS directly. Any ExIS grantee that cannot implement at least the order and inventory interfaces by their deployment date has the option of entering orders and inventory into VTrckS directly on behalf of their providers. This is a function all grantees need to learn. Also, this option builds toward full ExIS deployment and buys time until their ExIS is ready.
