Safeguarding the Cancer Patient Record
Florida Cancer Data System
In the past, reporting facilities submitted records that needed correction or increased documentation to the Florida Cancer Data System (FCDS) via fax, courier, or postal mail, which did not adhere to Florida statutes and Department of Health guidelines regarding patient and institutional confidentiality.
The quality control software that works with failed and audited records has been changed to record and send the data through a secure connection. Notes, questions, and comments are placed in the record electronically.
The reporting facility receives an e-mail message indicating that records are waiting for their review and response, and their staff log on to the FCDS Web site to review the records. Reporting facility and FCDS staffs create reports to inform each other of the progress of the request.
This software enhancement addresses administrative, physical, and technical safeguards to keep confidential information secure.
