Preparing Presentation Materials for the 2014 STD Prevention Conference

Oral Presentations

We are delighted to let you know that plenary, mini-plenary, debates, symposia, and oral presentations at the 2014 STD Prevention Conference will be recorded and uploaded to the conference Web site following the meeting. This will extend the life of the meeting, provide access to the conference presentations to those unable to attend the conference, and provide access to the numerous presentations that conference participants may have missed while attending other sessions. If you prefer not to make your presentation available after the conference, you certainly have that choice.

UPLOADING POWERPOINT PRESENTATIONS IN ADVANCE

The Conference Planning Team requests that all plenary, mini-plenary, debates, symposia, and oral presentation presenters upload their presentation files in advance of the meeting so that they can be pre-loaded onto meeting room computers. This simple step will save you time and ensure that your presentation is available for your talk. The deadline to upload is June 4, 2014.  After that date, you will need to upload your PowerPoint files in the speaker ready room at the conference at least one day prior to your presentation.

Please limit the size of each file to 35MB or less. The files that exceed 35MB size limit should be uploaded onsite.

Oral session presenters will receive an upload link via email in the near future. If you experience technical problems uploading your presentation files, please email technical support at cdc@confex.com or call (401) 334-0220 between 9:00 am and 6:00 pm Eastern Time.

UPLOADING HANDOUTS IN ADVANCE

The Conference Planning Team is pleased to offer you the option to upload handouts to accompany your presentation prior to the conference. Uploaded handouts will be available for conference attendees to review or print even after the conference.

All uploaded materials must be in PDF format only (35MB or less in size) and can be uploaded via the link included in your presentation information email.

PERMISSION TO RECORD YOUR PRESENTATION

When you upload your presentation files, you will be asked to indicate whether you’d like your presentation to be recorded for post-meeting electronic distribution. If you choose not to have your presentation recorded, the presentation file still has to be uploaded in advance. When you upload your file, you will have the opportunity to elect that your PowerPoint presentation files not be displayed online (in which case your uploaded presentation file will be deleted after the meeting ends).

VIDEO FILES 

If you created a video file in a DVD format, test it in Windows Media Player prior to the conference. We can only support video files which play on Windows Media Player.

ACCESS AND COMPATIBILITY

Meeting room computers are not connected to the Internet.

If you created your presentation on an Apple computer, you may want to preview your presentation  on a PC in the speaker ready room in advance of your session. Fonts and colors can change when moving from an Apple to a PC.

Recommendations for PowerPoint presentations

  • Background
    • Use a high contrast between the color of the text and the background. For example, use a light color for the background with a dark colored text or a darker background with light text.
  • Title
    • Font: sans-serif (such as Arial or Verdana) with no bars at the ends of the letters.
    • Font size: 36 points, bold
    • Color: light or pale to contrast with the background (e.g.,  white or yellow)
  • Substance text
    • Font: the same one used for the title
    • Font size: 24 or 28 points (use a uniform size for all substance text), non-bold
    • Color: light or pale to contrast with the background (white is the standard)
  • Recommended amount of text per slide
    • 7-8 lines maximum
    • 25-40 words maximum

You will only have about 10 minutes to present your topic, with 3-5 minutes for questions.  Please plan your presentation accordingly. 

Recommendations for Poster Presentations

  • Size
    • Maximum size per poster (including banner if you use one): 5 feet high by 8 feet wide; should be legible from a minimum distance of three feet or one meter
  • Text and background color
    • Use a high contrast between the color of the text and the background. For example, use a light color for the background with a dark colored text or a darker background with light text.
  • Titles and headers
    • Font: sans-serif (such as Arial or Verdana) with no bars at the ends of the letters.
    • Font size
      • Title: At least 36-point and bold, up to 158-point
      • Section titles: 46 to 56-point
    • Color: one that contrast well with the background
  • Substance text
    • Font: the same one used for the title
    • Font size: 24 to 36-point, non-bold
    • Color: one that contrasts well with the background
