Sponsored Participants

The 2019 National HIV Prevention conference organizers recognize the importance of facilitating the attendance of those who may not have the resources to attend. These include persons living with HIV/AIDS or those involved in providing HIV-related care or prevention services. The conference will provide a limited number of sponsorships for eligible participants. The deadline to apply to be a sponsored participant was November 16, 2018.

  • Applicant must be at least 18 years old.
  • Only travel from within the U.S. and its territories will be supported.
  • Applicant must be engaged in HIV-related research, care or prevention activities.
  • Applicant must describe how conference participation will enhance their HIV-related work, and how they will share the skills and knowledge they have acquired at the conference.
  • Only one application per agency/organization will be accepted. Applications from multiple individuals representing a single agency/organization will not be accepted.


The deadline for submitting sponsorship applications was November 16, 2018.
Applications received after this date will not be accepted.
Applicants will receive an email confirming that their application was received.
Applications can be saved as draft and updates can be made before submitting as final.


To apply for sponsored participation, applicants must submit the following:

  • Sponsored Participant Application (includes essay questions).
  • Your abstract number, if you have submitted an abstract to the conference.
  • If you work for an HIV-related organization, a letter of support from your organization with a contact name and telephone number.


Reviewers will take the following important criteria into consideration:

  • Why this particular conference will be a benefit to the applicant and his/her community (10 points).
  • The different ways in which the applicant will share with his/her community the knowledge acquired at the conference (10 points).

The information provided on the Applicant Profile and Applicant Information Form is considered confidential and will be shared only with the organizers of the 2019 National HIV Prevention Conference for the purpose of reviewing and selecting Sponsored Participants. All essays will be reviewed and scored by assigned reviewers. Preference will be provided to those individuals whose abstracts have been accepted for presentation at the conference. Reviewers will not have access to Applicant Profile and Applicant Information form data. Sponsored Participant applicants will be notified the week of January 14, 2019 of the results of their sponsorship application submissions.


To enable as many applicants as possible to receive support, sponsored participants receive one of the following levels of support:

  1. Full Support (applicant must live at least 200 miles or more from Atlanta to be eligible for this level of support)
    1. Roundtrip airfare (from recipient’s designated domestic airport to Atlanta and back to the originating domestic airport at the lowest fare and by the most direct route)
    2. Hotel accommodations for three nights (at one of the host hotels, to be determined based on space availability)
    3. Three and a half days of government per diem for meals and local mass transit travel.
    4. One complimentary conference registration
  2. Partial Support (air travel not covered)
    1. Hotel accommodations (see above)
    2. Three and a half days of government per diem for meals
    3. Local mass transit travel (no reimbursement for taxi fares)
    4. One complimentary conference registration


Selected sponsored participants will not receive a travel advance. For those receiving airfare, tickets will be provided. Participants are expected to pay for ground transportation, hotel charges and daily meals (to supplement meals provided during the conference). They will be reimbursed after submitting a travel voucher. In order to be reimbursed, participants must have a bank account for e-transfer of funds.
