Sharefile - Help

ShareFile is a file sharing and syncing service. It allows you to securely share files and folders with other CDC staff and external partners. It works like other well-known document sharing systems such as Dropbox; however, Sharefile is configured and approved for use at CDC.

Requesting Access to Sharefile


  1. Go to the Sharefile Request Tool at https://ociotools.cdc.gov/citrixfiles/.
  2. Click on Submit New Sharefile Request.
  3. Click the checkbox to accept the Sharefile Request Tool Rules of Behavior.
  4. Click on the Sharefile Request Tool link and submit your request.
  5. A workflow will be sent to your manager, ISSO and TSE for approval. When you receive notification that your request is approved, you can access Sharefile from the web browser on your desktop or mobile device.
If the same content will be shared on an ongoing basis, please indicate that you have a need for ‘permanent’ Sharefile storage. Otherwise all files shared via Sharefile expire after 180 days.

By default, all Sharefile requests are allocated 10 gigabytes (GB) of space. If you require more than 10 GB, you can request additional storage at the time you submit your initial request or by contacting the OCIO ServiceDesk.

Accessing Sharefile


Once your request for access is approved, there are several ways you can access Sharefile.
Web Interface

This is the simplest and easiest way to get started if you use Sharefile infrequently. Supported browsers are Microsoft Internet Explorer version 11 or higher, Google Chrome, Mozilla Firefox, and Apple Safari version 9 or higher.
  1. Go to sharefile.cdc.gov, then enter your CDC user ID and password.
  2. If you are unable to login, make sure you have requested access to Sharefile.
Sharefile Plugin for Microsoft Outlook

This plugin allows you to access to Sharefile via Outlook to send large files without having to open the Sharefile interface.
  1. Go to the Software Request Tool at http://ociotools.cdc.gov/SRT/
  2. Click on the Search/request installation of approved software option.
  3. Type Sharefile Plugin for Outlook in the Product Name field.
  4. Click the Search button.
Sharefile Sync

You can automatically sync a folder on your computer with folders in your Sharefile account.
  1. Go to the Software Request Tool at http://ociotools.cdc.gov/SRT/
  2. Click on the Search/request installation of approved software option.
  3. Type Sharefile Sync in the Product Name field.
  4. Click the Search button.

Sending a File


Sharefile can help you send a file or files to internal CDC staff and external partners. Instead of attaching files to email messages, you upload them to your Sharefile account and then send links to recipients for download.
  1. From the Sharefile Dashboard, click on the send files button. Select Email with Sharefile.
  2. In the Data fields, enter the recipients’ email addresses, a subject line, and a message.
  3. Upload the files to share in one of three ways:
    • Select any file from your computer and drag it to the Drag files here area.
    • Select Browse files and select the file from your computer.
    • Select Browse files and add from your Sharefile account.
  4. If you want to customize your notifications and security options, select Edit Message Options to reveal the Notifications and Security Options window. Click Done when finished.
  5. Click on the Send button to email your message to the recipient(s).

Requesting a File


You can request that someone send files to your Sharefile account.
  1. From the Sharefile Dashboard, click on the Request Files button. Select Email with Sharefile.
  2. In the data fields, enter the recipients’ email addresses, a subject line, and a message.
  3. Select a folder in Sharefile that you want to add the requested files. NOTE: Sharefile automatically sends files to your File Box folder, but you can select Edit to change the destination.
  4. Select Edit Message Options, if you want to customize your notifications and security options (i.e. determine how many downloads are allowed). Click Done when finished.

Reviewing Shared Files


You can review emails sent from Sharefile in your Outlook Inbox located in the sidebar menu of the home screen. To see a list of sent emails and edit link expiration dates or notification settings, select the carat next to the Inbox, then select Sent.

Setting up Folders to Organize your Files



You can set up folders to store files on your Sharefile account. Folders allow you to share data within the account.
  1. Click the green Floating Action button and select Create Folder.
  2. Enter a name for your folder. NOTE: You may also enter a description for the folder, which displays as a note attached to the folder in your account.
  3. Select Create Folder.
