Letting go of VACMAN

Are you still using VACMAN to retrieve order histories? How about viewing provider profiles and creating mailing labels? Did you know that you can do all three of these tasks directly within VTrckS?

Order History: Since December 2010, all orders have been processed through VTrckS, whether or not the awardee used VACMAN to enter the orders. This means that VTrckS contains information about all vaccine orders that have shipped since December 2010. You can display these past orders by running a Vaccine Request Search, or you can see historical order data in the Provider Orders and Deliveries Report. (Remember, if you are pulling a large amount of data for any report, you will want to run it in SAP Business Objects, which is designed to return large amounts of data in a timely manner.)

Provider Master Data: VTrckS can easily be used to store all of your provider master data. A new Training Library Reference Guide will help you maintain and update provider data in VTrckS. This guide outlines all of the provider master data fields, indicates whether they were populated through the data conversion process, and gives the options for creating/updating each field going forward. Note that you can use the VTrckS Marketing Attribute Upload to import any VACMAN data not transitioned to VTrckS during data conversion.

Provider Mailing Labels: VTrckS is able to store provider mailing addresses, shipping addresses, and alternate mailing addresses. The process to print mailing labels in VTrckS takes a few more steps than in VACMAN, but VTrckS has many more options to retrieve the addresses and print them in the correct format for whichever labels you prefer. VTrckS also has two preselected Provider List Report options, one for the shipping addresses and the other for the alternate addresses. A Training Library Reference Guide outlines how to create mailing labels using these Provider List Report results, by exporting the results to Excel and then merging them into Word.

The Training team will offer ongoing VTrckS training in the post-deployment phase. These courses will focus on specific areas, and will prepare new VTrckS users to be successful in the system, with added tips and tricks for current users to help them better utilize VTrckS functionality.
